Contingent Labor Spend, Fully Accounted For

Every requisition, worker, invoice and compliance document in one auditable system. Suppliers fund the platform, so you pay nothing for it.

No minimum spend. No long-term contract required.

Why teams switch

Unmanaged temp labor is a budget you cannot see

Most mid-market companies running contingent labor at scale do it without a system. The cost of that shows up everywhere.

The old way

  • ×10 to 25 staffing agencies billing at different rates, on different schedules, to no common standard
  • ×HR and operations leaders spending hours each week chasing paperwork and reconciling invoices
  • ×No real number for Finance to put in a budget, and no visibility into actual markups
  • ×No way to tell which agency is performing and which one is not

The SourceNow way

  • ✓One platform for requisitions, workers, invoices, compliance documents and bill rates across every location, in real time
  • ✓Invoices generated from approved timesheets, not accepted from agencies, which eliminates rate creep and invoice disputes
  • ✓Hard rate caps block over-rate submissions at the system level, with every exception logged and explicitly approved
  • ✓A single point of accountability for vendor management, invoice processing, compliance and workforce reporting

Features

Built for control, auditability and trust

A proprietary, cloud-based platform built and supported entirely by SourceNow employees. Not white-labeled, not outsourced.

I

Compliance enforcement, not just tracking

Requirements configured per role with expiration monitoring and automated alerts. Workers can be hard-blocked from starting or continuing assignments until requirements are met, with documents stored against the worker record.

II

Rate governance with hard caps

Rate cards by role, location and labor category with version control. Over-rate submissions are blocked at the system level. Exceptions require explicit approval and are logged.

III

Inverted invoicing

The system generates invoices from approved timesheets rather than accepting agency-submitted invoices. GL coding, segmentation by supplier or cost center, and raw CSV export for ERP and BI ingestion.

IV

Time-stamped audit trail

A fully configurable approval engine with sequential and parallel chains, routing by department, cost center, labor type or location. Every action is time-stamped and tied to the user who took it.

V

Mobile-first, browser-based

Full functionality for hiring managers, approvers and suppliers on any device. No client-side installation. No hard limits on users, suppliers, requisitions or transaction volume.

VI

Saaji AI agentic intelligence

An embedded conversational AI engine that responds to voice and text prompts, from posting job orders to querying headcount or identifying spend reduction, without manual report building.

VII

Timekeeping with punch correction

Multiple input options including UKG HRIS time clock integration, mobile geolocation punch-in and biometric options. Agencies receive automated daily punch correction reports.

VIII

Specialized healthcare capabilities

Expanded healthcare VMS support including locum tenens scheduling, credential verification and clinical workforce management.

Good to know

The questions every buyer asks

How much does SourceNow cost?+

Nothing to you. SourceNow operates on a vendor-funded model. Our fee, typically 2 to 3%, is retained from staffing agency invoices. You pay no software license, no implementation fee, no integration fee and no ongoing support fee. In most programs, clients see a net reduction in total contingent labor spend within the first year, even after the agency fee is factored in.

What do you mean the agencies pay for it? Won't they raise my rates?+

The fee comes out of the existing margin agencies earn on your bill rates. It does not get added on top. This is a standard model in contingent workforce management. We typically renegotiate your bill rates downward as part of implementation, so the net effect is lower total spend even after the agency fee is accounted for.

Is there a minimum spend or volume requirement?+

No minimums. We work with companies running 50 concurrent workers and $10M in annual contingent spend up through $1B programs. The model scales in both directions.

Is there a long-term contract?+

No long-term contract is required. Most clients stay because the program delivers value, not because they are locked in.

Are integrations included or do they cost extra?+

All integrations are included at no additional cost. That covers design, build, testing and ongoing maintenance, including Workday, UKG, Paylocity, ADP, Bullhorn, Oracle, QuickBooks, Power BI and Tableau. The only exception would be highly customized middleware outside standard API development.

How long does implementation take?+

Standard implementation is 8 to 12 weeks. For companies with active participation and limited initial integrations, we can accelerate to go-live in 4 to 8 weeks. We have done it in four weeks for straightforward programs.
